SCHOOL MEDIA ROUTE

Prepare Clean School Recording Copies

Remove unrelated clips, duplicate exports, hidden metadata and unnecessary identifiers before handoff.

01 / DECISION

Define the release decision

The editing folder contains rehearsal footage, duplicate renders, thumbnails and temporary project files alongside the approved event recording. Copying the whole folder would disclose more than the recipient needs.

◆
Decision rule

Remove unrelated clips, duplicate exports, hidden metadata and unnecessary identifiers before handoff.

02 / PROCEDURE

Run the control sequence

  1. 01Work from an approved copy, never the only master recording.
  2. 02Match the release list to the final video and audio exports.
  3. 03Exclude rehearsal, rejected, backstage and temporary editing files unless specifically authorized.
  4. 04Review filenames, metadata and thumbnails for unnecessary personal information.
  5. 05Record the final file count and selected checksums before copying.
03 / RECORD

Preserve enough evidence

Record the school media packet identifier, school media review, source device or system, export date, manifest, responsible custodian, authorized recipients, key location, encryption environment, recovery result, retention rule and next review date. Do not put passwords, recovery secrets or unnecessary sensitive student-media details in the decision record.

◆
Minimum decision record

Keep the manifest, custodian, approved recipient, key-separation decision, restore result and retention owner together without copying sensitive student-media details into the record.

04 / BOUNDARY

Keep surrounding controls visible

Copy cleanup does not erase prior versions from editing systems, backups, email or synchronized storage.

School recording preparation can create extra copies on tablets, laptops, removable media, synchronization folders and recipient devices. The archive owner must address those copies separately and verify the current software release before relying on product behavior. Individuals should distinguish a local export from the school media repository: encrypting a download does not correct contact fields, change workspace permissions, alter platform retention, authorize a recipient identity or replace business-continuity planning. Document where each copy came from, who may receive it and when it should be reviewed.

05 / QUESTIONS

Questions to ask

Should the archive password travel with the school media packet?

No. Send the archive and its credential through separate approved channels, and verify the authorized recipient before release.

Does encryption make a school media packet accurate or authorized?

No. Encryption restricts file access; it does not establish recording accuracy, school authority, student media consent, recipient authority or delivery-access permissions.
